How can I contact everyone on my programme easily?

The easiest way to contact all students on your programme is to use the SDL (Student Distribution List) code. An SDL code is a mailing list that has everyone on your level of your programme within it.

You are permitted to use this code as a rep, but please remember that you should only be using it to effectively perform your rep role. Misusing the code, for example by repeatedly emailing it to the extent of spamming, could be a breach of the University's IT Policy.

 

How do I find my SDL code?

How do I use it once I have it?

Your SDL code might be sent to you in one of two formats - either a code starting with SDL that should look something like "SDL_AB_Your Programme_L0_FT_Sep", or an email address ending in @livenorthumbriaac.onmicrosoft.com. They are interchangable and the same instructions should be used regardless of which version you receive.

Once you have it, follow these steps:

  1. Put your own email address in the 'To' line. (This will make sure that your email isn't sent to spam folders.)
  2. Paste the SDL code into the BCc line (NOT the Cc line). Depending on the version of Outlook you're using, you might have to click "Cc" first to open the menu that lets you add emails to the BCc line.
  3. Send your email as normal!

Why do I have to BCc? Can't I just put the code in the 'To' line?

BCc stands for blind carbon copy, and it means that everyone on the mailing list will receive the email without seeing or having access to everyone else who was BCc-ed on the email. This means that your fellow students can't "reply all" and accidentally spam everyone else, or get access to the mailing list without being a rep.

 

Can I use the same code the whole time I'm at Northumbria?

Your SDL code will change every academic year because it is based on the level you are studying at. If you get your SDL code from us and continue to be a rep next academic year, you will need to ask us again for your new SDL code once the new academic year begins. If you email your old SDL code, you will be emailing the students in the level below you.

 

Is this for all reps?

Unfortunately because of how university data is sorted, SDL codes currently only reliably exist to be used on the programme level. This means that if you are a School, International, or PGR Rep, there is no SDL code for you. However, the Student Voice Team can send out emails on your behalf.
